We are looking for a proactive and detail-oriented Sales Support Specialist to assist our executive team and sales operations. In this role, you’ll manage scheduling, streamline workflows, prepare client-facing materials, maintain accurate data reporting, and support business development initiatives—all while ensuring seamless communication and operational efficiency across departments. 


What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

  • Assist in managing and scheduling calls for the CEO and COO, ensuring smooth calendar coordination.
  • Coordinate meeting logistics, prepare briefing materials, and distribute post-meeting action items.
  • Draft and organize CEO/COO email responses, maintaining timely follow-ups and clear workflows.
  • Maintain and update Salesforce CRM data to support sales and client engagement efforts.
  • Conduct research on high-value target clients for business development opportunities.
  • Prepare customized proposals, contracts, and presentations for prospective clients.
  • Develop and execute follow-up sequences for meetings, proposals, and client opportunities.
  • Maintain a library of sales templates, proposals, and Standard Operating Procedures (SOPs).
  • Aggregate data for monthly compliance reports and manage e-Oscar dispute workflows.
  • Collaborate with internal and external stakeholders to ensure data accuracy and regulatory compliance.


Who are we looking for?

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum 1 year experience as an Executive Assistant, Sales Operations Coordinator, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in CRM systems (Salesforce preferred) and email management.
  • Data monitoring, reporting, and compliance exposure (e-Oscar, Metro 2, CDIA experience is a plus).
  • Background in financial institutions or property management is advantageous.
  • Familiarity with AI/ML tools (ChatGPT, Perplexity, Claude) for research and workflow optimization is a plus.
  • Excellent written and verbal communication skills with strong organizational abilities.
  • Detail-oriented, able to manage multiple priorities, and maintain accuracy under tight deadlines.
