We are looking for an Accounting Bookkeeper - Executive Assistant that will provide a wide range of administrative and accounting assistance and act as the first and main point of contact for all senior members of the Executive Team. The ideal candidate will possess a strong drive to be proactive in ensuring that the Executive members are well organized, scheduled, and highly responsive to all methods of communication. You enjoy working in a fast-paced environment and are able to adapt to changing priorities.

What is your mission?

You will provide the best service to our partner brands by performing these tasks:

  • Proactive calendar management - you will be the main point of contact for internal and external requests as well as being responsible for coordinating meetings and events and optimizing the use of time
  • Preparation of draft business letters, Human Resource communications, and standard contracts and agreements
  • Create an efficient system to oversee the signing, collection and filing of all corporate documents 
  • Oversee all Human Resource related administrative tasks
  • Organize and coordinate international travel arrangements and itineraries for individuals and groups including flights, hotels, and ground transportation
  • Coordinate and manage company meetings and activities
  • Prepare expense reports and track finance
  • Draft and edit Power Point presentations, excel spreadsheets and word documents as requested
  • Other duties as assigned

Who are we looking for?

  • Strong organizational skills - you are able to juggle multiple priorities and be proactive in anticipating needs 
  • Self-starter, highly driven and proactive, must be extremely coachable 
  • You have the ability to meet deadlines because of your capacity to prioritize and delegate as needed
  • Quick to adapt to change and able to wear multiple hats. Always a lifelong learner and a seeker of process and self-improvement
  • Strong time management, attention to detail, and problem resolution skills 
  • High customer service orientation - you demonstrate a positive, helpful demeanor and are able to communicate with clarity, tact, and discretion 
  • Flexibility to be available outside of normal work hours to provide support on urgent matters or to meet tight deadlines is a must
  • Minimum 10+ years' experience as an Executive Assistant supporting C-Level executives
