We are looking for a highly organized and tech-savvy Bookkeeper and Admin to handle financial records, QuickBooks reconciliation, expense tracking, and support admin deliverables across multiple businesses. If you’re proactive, detail-oriented, and can work independently across teams, this remote-first role offers variety and flexibility in a fast-paced environment.

What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

  • Maintain and reconcile QuickBooks Online accounts weekly
  • Clean up historic data; ensure all transactions are categorized correctly
  • Cross-reference and attach digital receipts to financial records
  • Manage accounts payable and accounts receivable
  • Generate monthly financial reports and cash flow statements
  • Coordinate QuickBooks with POS systems like Square or Toast
  • Reconcile event revenues, catering invoices, vendor payments, and supply costs
  • Reconcile cash vs. digital payments from vending machines
  • Track credit card chargesreimbursements, and location-based expenses
  • Log lot performance, vending refill expenses, and event-based revenue
  • Export and input data into LivePlan for budgeting and forecasting
  • Assist with grant reportingRFP submissions, and financial proposal data
  • Generate and email recurring invoices for clients
  • Maintain shared files (Google Drive, Dropbox, etc.)
  • Track recurring tasks, deadlines, and business licenses
  • Coordinate with staff to collect missing receipts or financial info
  • Maintain internal checklist/timeline of deliverables across companies


Who are we looking for?

  • 3+ years of experience in bookkeeping and/or administrative support
  • Proven expertise in QuickBooks Online
  • Experience with LivePlan is a strong advantage
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail)
  • Advanced skills in spreadsheets and financial reporting
  • Ability to manage financials for multiple entities simultaneously
  • Excellent written and verbal communication skills
  • Strong attention to detail, time management, and organizational skills
