We are seeking for a dedicated and detail-oriented ABA Insurance Support team member who will primarily be responsible for handling phone contact with insurance companies. The ideal candidate will have excellent English-speaking skills and some experience in ABA insurance. This role is supporting the Insurance Administration team and involves extensive phone contact, requiring strong communication skills, persistence, and the ability to help troubleshoot insurance-related issues.

What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

Phone-Based Insurance Support:

  • Serve as the primary source of support for contacting insurance companies via phone, handling inquiries regarding ABA therapy benefits, authorizations, and claim follow-ups.
  • Work with insurance companies as the administrative team needs to secure authorizations for ABA therapy services and ensure timely processing of claims.
  • Assist administration team with resolving insurance-related issues such as denied or delayed claims by contacting insurance representatives and gathering necessary documentation.

Claims & Authorization Assistance:

  • Help the administration team manage claim statuses by regularly following up with insurance companies on pending, outstanding, or denied claims.
  • Assist in obtaining pre-authorization and re-authorizations for ongoing ABA therapy services as support.
  • Support the Insurance Administration team by troubleshooting and resolving discrepancies between billed services and insurance payments.

Administrative Support:

  • Maintain detailed records of phone conversations with insurance companies, including claim statuses, authorizations, and follow-up actions.
  • Assist the head billing administrator by preparing and submitting insurance-related forms, ensuring accuracy and compliance with requirements.
  • Provide general administrative assistance to the Insurance Administration team as needed.

Collaboration and Team Communication:

  • Clear and concise communication updates from insurance companies to the billing team and other relevant staff to ensure proper follow-through on claims and authorizations.
  • Assist administration team by providing information about insurance benefits, authorizations, and claims status as directed by the team.


Who are we looking for?

  • 2-3 years of experience in customer service in medical billing, insurance, patient service prior authorization or patient services
  • High school diploma or equivalent; experience in medical billing, administration, or insurance preferred.
  • Previous experience in a phone-based administrative or insurance support role, ideally within ABA services or behavioral healthcare.
  • Strong verbal communication skills, with fluency in English and the ability to clearly and professionally convey information.
  • Persistence and problem-solving skills, especially when dealing with insurance representatives.
  • Basic proficiency with Microsoft Office Suite, Google Suite and familiarity with billing or insurance-related software systems.
  • Knowledge of HIPAA regulations and commitment to maintaining confidentiality of patient information.
