The ideal candidate will possess a strong drive to proactively ensure that the Executive members are well-organized, scheduled, and highly responsive to all methods of communication. What is your mission?

You will provide the best service to our partner brands by performing these tasks:

Proactive Calendar Management

  • Serve as the main point of contact for internal and external scheduling requests.
  • Coordinate and manage meetings, events, and appointments to optimize the executive's or team's time.

Document Preparation and Management

  • Draft business letters, Human Resource communications, and standard contracts and agreements.
  • Develop and maintain an efficient system for the signing, collection, and filing of all corporate documents.

Human Resource Support

  • Oversee a range of Human Resources administrative tasks, including onboarding, employee records management, and communications.
  • Handle sensitive HR processes such as employee terminations, ensuring all procedures are followed correctly and documentation is properly managed.

Travel Coordination

  • Organize and coordinate international and domestic travel arrangements for individuals and groups, including flights, hotels, and ground transportation.

Meeting and Event Coordination

  • Plan, coordinate, and manage company meetings, activities, and events, ensuring all logistics are handled smoothly.

Financial Administration

  • Prepare and submit expense reports and assist in tracking and managing company finances.

Presentation and Document Creation

  • Draft, edit, and format PowerPoint presentations, Excel spreadsheets, and Word documents as requested.

General Administrative Support

  • Perform other administrative duties as assigned to support the efficient operation of the office and team.

Who are we looking for?

  • Minimum of 3 to 5 years relevant HR and Admin experience, preferably in the consumer goods or direct selling sector.
  • Experience with onboarding, records management, termination, and other administrative functions.
  • Excellent communicator capable of handling sensitive situations like terminations with professionalism.
  • Strong organizational abilities with a knack for juggling multiple priorities and proactively anticipating needs.
  • A self-starter who is highly driven, proactive, and extremely coachable.
  • Ability to meet deadlines through effective prioritization and delegation.
  • Quick to adapt to change, able to wear multiple hats, and committed to continuous learning and process improvement.
  • Strong time management, attention to detail, and problem resolution skills.
  • High customer service orientation with a positive, helpful demeanor and clear, tactful communication.
  • Willingness to be available outside of normal work hours to support urgent matters or meet tight deadlines.
