​We are looking for a detail-oriented and proactive Administrative Assistant to support our day-to-day operations. This role involves handling expense approvals, renewing business licenses and insurance policies, coordinating vendor services, and updating internal systems like SharePoint. You will also assist with collections, ensure timely site inspections, and monitor system functionality.

What is your mission?

You will provide the best service to our partner brands by performing these tasks:

  • Financial & Expense Management:

    • Approve Concur expenses for Real Page.

    • Monitor Real Page to ensure timely and accurate payments.

    • Monitor Spadefoot invoices for duplicate entries and misbilling before approvals.

    • Manage collections

  • Licenses & Insurance:

    • Assist in obtaining and renewing business licenses and Certificates of Occupancy.

    • Obtain and renew propane licenses for RV parks.

    • Renew RV park and company vehicle insurance policies.

  • Site & Vendor Coordination:

    • Send reminders for required site inspections (fire, backflow, etc.).

    • Set up trash and disposal service accounts.

    • For special projects, collect information from sites.

  • Employee Engagement & Support:

    • Send employee gifts/gift cards for anniversaries, call outs, etc.

  • System & Process Maintenance:

    • Update SharePoint (with correct reports, SOPs, monthly photos, MOMs, and other highlights).

    • Check website and phone numbers for functionality.

    • Conduct phone mystery shops once a quarter as assigned.


Who are we looking for?

  • At least 2 years of experience as an Administrative Assistant or in a similar role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).

  • Experience in handling invoices.

  • Strong attention to detail and organizational skills.

  • Ability to proofread and review documents accurately.

  • High school diploma or Bachelor's degree, or equivalent work experience.
