We are looking for a detail-oriented and proactive Accounts Payable Officer to join our team. This role involves processing vendor invoices, managing new vendor setups, handling payments, and overseeing Fintech payables. The ideal candidate will have strong organizational skills, accuracy in data entry, and the ability to collaborate with internal departments for smooth financial operations.

What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

Process Vendor Invoices in Sage Intacct

  • Upload or manually enter invoices from the shared Accounts Payable email.

  • Utilize two invoice entry modules:

    • Accounts Payable Module: AI-assisted invoice coding, accuracy review, and department-based approval workflows.

    • Purchasing Module: Manual input, individual-based approval workflows, and AI functionality.

  • Match purchase orders (POs) to invoices for winemaking department purchases.

  • Use the PO tracker spreadsheet to track missing items and ensure invoice submissions.

  • Scan and forward physical invoices to the shared Accounts Payable email.

New Vendor Setup

  • Create vendor profiles in Sage Intacct.

  • Request Form W-9 and ACH details if not provided.

Process Payments

  • Set up weekly ACH and check payments.

  • Review and document bank account auto-drafts for approval in Intacct.

Manage DCF Fintech Payables

  • Record invoices from the restaurant’s Fintech auto-payment system in the purchasing module.

  • Issue record transfers in Intacct to document payment transactions.

  • Establish new Fintech connections as needed.


Who are we looking for?

  • 4+ years of experience in accounts payable, accounts receivable, and accounting responsibilities.

  • Ability to process 75 to 100 invoices daily.

  • Experience using accounting software.

  • Proficiency in MS Excel (Pivot Tables, VLOOKUPs).

  • Detail-oriented, proactive, and a strong communicator with a curious mindset.

  • Clear audio clip for communication skills assessment.

  • Experience with Sage Intacct (preferred but not required).

  • ASAP availability required.
