We are looking for a detail-oriented Billing Specialist to manage freight billing operations, invoice reconciliation, freight cost analysis, and carrier dispute resolution while ensuring billing accuracy and operational compliance. This role is responsible for importing and validating carrier invoice files, matching invoices to shipment records, reconciling freight charges, auditing billing transactions, and verifying rates against contracted agreements. The position plays a critical role in identifying billing discrepancies, resolving carrier disputes, maintaining accurate billing documentation, generating freight expense reports, and providing actionable cost analysis. Working closely with transportation, logistics, finance, and accounting teams, the Billing Specialist helps ensure accurate freight invoicing, timely payment processing, effective cost control, and continuous improvement of freight billing processes and systems.


What is your mission?

  • Import freight invoice files from carriers and accurately match invoices with shipment records.
  • Reconcile client invoices, shipment records, carrier invoices, and purchase orders to ensure billing accuracy.
  • Review, validate, and process freight invoices for accuracy and compliance with contractual agreements.
  • Audit freight bills, identify discrepancies, and investigate billing errors using knowledge of carrier billing methodologies.
  • Analyze and apply carrier surcharge structures and carrier discount tables to validate freight rates against contracted terms.
  • Communicate directly with carriers to investigate, dispute, and resolve billing discrepancies through final resolution and credit recovery.
  • Track, document, and report billing errors, variances, and root-cause findings where applicable.
  • Prepare, organize, and maintain accurate records of all billing transactions and supporting documentation.
  • Generate reports on freight expenses, billing status, invoice activity, and financial variances.
  • Provide detailed freight cost analysis and billing insights for management review and decision-making.
  • Collaborate with transportation, finance, and accounting teams to support timely invoice processing and payment activities.
  • Assist in the implementation, enhancement, and adoption of new billing systems, workflows, and operational processes.
  • Support compliance with ISO 9001 and ISO 14001 standards.
  • Perform additional billing, logistics, and operational support tasks as assigned.

Who are we looking for?

  • Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, Accounting, Finance, or a related field; or four (4) years of comparable industry experience.
  • Minimum of three (3) years of experience in transportation, logistics, freight billing, or billing operations.
  • Proven experience in freight billing and freight invoice processing.
  • Experience importing, reconciling, and auditing carrier invoices, shipment records, client invoices, and purchase orders.
  • Experience identifying, investigating, and resolving billing discrepancies, disputes, credits, and invoice variances.
  • Strong knowledge of freight billing practices, Less-Than-Truckload shipping, Truckload shipping, and logistics operations.
  • Working knowledge of carrier surcharge structures, freight rating methodologies, and carrier discount tables.
  • Experience generating billing reports, freight expense reports, and freight cost analysis for business review.
  • Experience collaborating with transportation, logistics, finance, and accounting teams to support billing operations.
  • Experience with freight billing software, transportation platforms, Enterprise Resource Planning systems, or similar billing technologies.
  • Advanced proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP, and analysis of large invoice data files.
  • Knowledge of ISO 9001 and ISO 14001 standards is an advantage.
  • Strong analytical and problem-solving skills with the ability to identify errors, variances, and process improvement opportunities.
  • Excellent attention to detail and commitment to maintaining billing accuracy and data integrity.
  • Strong written and verbal communication skills with the ability to effectively coordinate with carriers and internal stakeholders across multiple time zones.
  • Ability to work independently, manage priorities effectively, and perform successfully in a fast-paced environment.
