We are looking for a Documentation and Intranet Administrator to manage internal documentation and administer the client's SharePoint intranet. You will ensure documents are accurate, well-structured, and aligned with the client's branding, while collaborating across teams to maintain consistency. You will also support the client's Online Library (AOL) by updating site content, resolving user issues, managing metadata, and handling site permissions.

What is your mission?

You will provide the best service to our partner brands by performing these tasks:

 Documentation Responsibilities

  • Develop and manage templates for internal client documentation, including:

    • Ongoing management of large process documents, such as:

      • Resident admission packets and move-in binders (customized by state)

      • New hire packets (tailored to state requirements)

      • Manuals

  • Ensure all documents are well-structured, visually appealing, and aligned with the client’s branding guidelines.

  • Act as an information coordinator:

    • Collaborate with document/process owners to ensure new or updated documentation is non-redundant and consistent across departments and related policies (e.g., resident admission packets).

    • Track changes made to documentation, including the reasons for updates.

    • Streamline information to avoid unnecessary complexity.

Intranet Administration Responsibilities

  • Assist with SharePoint administration by maintaining up-to-date documentation within the client’s Online Library (AOL) for each department.

  • Upload new documents, edit existing content, and archive outdated materials as necessary.

  • Manage metadata tagging, page/site editing, and SharePoint site permissions, including:

    • Maintaining and updating departmental pages on the AOL site.

    • Addressing user inquiries, issues, or feedback about the site.

    • Troubleshooting and resolving broken links, malfunctioning web parts, or other site issues.

    • Updating and managing site/library user permissions.


Who are we looking for?

  • 1 year of experience as a Documentation Specialist.

  • 1 year of experience in Documentation Management.

  • Experience in editing documentation.

  • Strong familiarity with SharePoint architecture, configuration, and administration.

  • Excellent oral and written communication skills.

  • Willingness to work in the day (Pacific Time) and night shift (MNL Time).
