We are looking for a proactive and detail-oriented Executive Assistant to deliver top-level support to our CEO in a fast-paced and dynamic setting. What is your mission?

You will provide the best service to our partner brands by performing these tasks:

  • Calendar and Schedule Management: Serve as the CEO’s primary gatekeeper, managing a dynamic calendar, scheduling meetings, and resolving conflicts proactively.
  • Travel Coordination: Plan and oversee all travel arrangements, ensuring seamless logistics and alignment with business objectives.
  • Expense Management: Prepare, submit, and approve expense reports accurately and on time, ensuring compliance with policies.
  • Meeting Support: Prepare agendas, gather materials, take notes, and distribute actionable summaries promptly.
  • Data Reporting: Generate and present reports using various tools to support CEO decision-making.
  • Project Coordination: Assist with special projects, ensuring timely completion and smooth communication across teams.
  • Administrative Support: Maintain organized records, draft professional documents, and act as a key liaison for the CEO’s office.
  • Process Improvement: Identify and implement opportunities to streamline administrative processes.
  • Team Collaboration: Support the executive team as needed and foster strong relationships with internal and external stakeholders.

Who are we looking for?

  • A bachelor’s degree in Business Administration or a related field is preferred.
  • At least 3 to 5 years of experience in administrative roles within fast-paced environments.
  • Proficiency in the Microsoft Office Suite, SharePoint, and other relevant software applications.
  • Experience using human resource tools for tracking time and managing expenses.
  • Familiarity with platforms such as Power BI, Salesforce, NetSuite, Concur, Leapsome, Namely, or similar tools is advantageous.
  • Strong ability to prioritize tasks effectively and meet deadlines consistently.
  • Exceptional communication and interpersonal skills.
