We are seeking for a dedicated, detail-oriented Operations and Accounting Officer to join our team. This role is pivotal in ensuring efficient operations and financial integrity, directly contributing to our mission of delivering high-quality products to adventure enthusiasts. You will work closely with the company owner, product designers, and a small team to drive logistics, procurement, bookkeeping, and product development.

What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

Procurement

  • Create weekly purchase orders based on demand algorithms.
  • Audit current purchase orders to confirm receipt and estimated delivery dates.
  • Maintain a Project Tracker for communication with Asia-based factories regarding pending orders.
  • Conduct video calls with factory representatives as needed.
  • Develop quarterly factory report cards to assess performance metrics (pricing, on-time delivery, communication, and spend).
  • Review quality control inspection reports to approve inventory shipments.

Logistics

  • Coordinate quotes for inbound freight, primarily from China and Vietnam.
  • Monitor and track freight arrival efficiency.
  • Maintain a shipping performance and cost spreadsheet in Excel.

Bookkeeping

  • Process and categorize invoices, preparing checks for payment.
  • Audit factory ledgers and arrange wire transfers for approval.
  • Categorize transactions in QuickBooks for expenses and inventory.
  • Conduct weekly accounts receivable management and follow up on past due accounts.
  • File quarterly Washington state and Netherlands VAT tax reports.
  • Manage biweekly payroll and 401K reporting.
  • Conduct monthly accounting data migration and audits.

Financial Audits

  • Generate weekly metrics reports on A/R, A/P, inventory, cash on hand, and sales results.
  • Produce quarterly health reports on finished goods inventory and cash status.
  • Track and analyze FedEx invoices to ensure freight costs meet targets.

Product Development Meetings

  • Collaborate with the product development team to review designs and RFQs.
  • Acquire in-depth knowledge of Client's products.

Team Meetings

  • Communicate daily and weekly priorities to a team of 3-6 individuals.
  • Update the team on inbound freight and action items for current and new products.

 

Who are we looking for?

  • At least 3-5 years solid experience handling Procurement, Logistics, Bookkeeping and Financial Audits, AP and AR monitoring.
  • Experience using QuickBooks Online and MS Office Applications
  • Excellent written and verbal communication skills.
  • Excellent Communication and Time Management Skills
  • Quick learner with a positive attitude, able to work independently and in teams.
  • Strong attention to detail and multitasking abilities.
  • Thrives in a fast-paced environment with effective prioritization skills.
  • Proficient in Microsoft Office, particularly Excel.
  • Motorcycle experience is a plus, but not required.
