We are looking for an experienced Operations Support Associate to provide comprehensive support across customer service, dispatch operations, automotive parts sourcing, vendor coordination, scheduling, inspection review, and administrative functions within a fast-paced automotive services environment. The ideal candidate will manage customer and technician communications, build and process service quotations, coordinate parts procurement and logistics, support warranty-related concerns, maintain accurate records in dispatch and administrative systems, and contribute to operational efficiency through strong organizational and problem-solving capabilities.


What is your mission?

  • Answer and respond to customer phone calls, technician phone calls, and email inquiries from customers and vendors.
  • Build and prepare service quotations for fleet and consumer clients.
  • Source automotive parts availability, coordinate procurement activities, and place parts orders for fleet and consumer customers.
  • Create and manage purchase orders, process parts returns, and monitor delivery status.
  • Modify and update service jobs accurately to ensure proper completion and closure.
  • Support technician ledger adjustments and related operational transactions.
  • Address and resolve customer warranty claims, third-party warranty concerns, and service-related issues.
  • Review, edit, and upload vehicle inspection reports, ensuring accuracy, completeness, and technical quality.
  • Assign and dispatch jobs to technicians based on availability, location, and skill set requirements.
  • Monitor technician schedules, track job progress, and resolve scheduling conflicts.
  • Maintain accurate records and data within Wrench Admin, Lemon Squad Admin, and other operational platforms.
  • Utilize Slack, AirCall, vendor portals, and other business systems to support daily operations.
  • Coordinate with vendors and internal stakeholders to support operational and logistical requirements.
  • Identify and recommend opportunities for process improvements to enhance operational efficiency.
  • Collaborate with cross-functional teams and provide support in various operational functions as needed.


Who are we looking for?

  • Bachelor's Degree in Logistics, Mechanical Engineering, Automotive Technology, or a related field preferred.
  • Minimum 5 years of experience in customer service, preferably within the automotive industry.
  • Experience in scheduling, dispatch operations, operations support, or vehicle inspection review.
  • Proven background in automotive parts sourcing, parts ordering, vendor coordination, and logistics support.
  • Strong automotive knowledge and understanding of vehicle service operations.
  • Proficiency in dispatch systems, administrative platforms, Microsoft Office, and other relevant business software.
  • Experience working with customer communications, service quotations, purchase orders, and warranty-related transactions.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Demonstrated organizational, multi-tasking, and workload management abilities.
  • Strong problem-solving and decision-making skills.
  • Highly tech-savvy with the ability to learn new systems and applications quickly.
  • Flexible, adaptable, and capable of working in a dynamic operational environment.
  • Strong customer service orientation and ability to maintain positive stakeholder relationships.
