We are looking for a detail-oriented Project Coordinator to support construction project operations through documentation management, procurement coordination, financial processing in Procore, and project tracking, ensuring accurate records and seamless collaboration across project managers, subcontractors, vendors, and stakeholders. This role involves purchase orders, invoices, change orders, compliance documentation, and progress reporting without ownership of project scheduling.


What is your mission?

  • Create, process, and track purchase orders, invoices, and change orders using Procore Financial Management module
  • Maintain and organize project documentation, including contracts, permits, compliance records, and project files
  • Manage Procore tools such as Documents, Commitments, Directory, and Project Management modules
  • Maintain and update project logs including submittals, requests for information, change orders, and directories
  • Coordinate collection and follow-up of contract documentation for timely execution
  • Support preparation and routing of contracts in Procore with accurate documentation
  • Coordinate with Project Managers, field teams, subcontractors, vendors, and suppliers
  • Support daily project operations to ensure alignment on deliverables, materials, and requirements
  • Track project progress, deliverables, and outstanding action items
  • Participate in internal and external meetings to support team alignment
  • Assist in procurement of materials, equipment, and services and monitor compliance with specifications
  • Coordinate with vendors to ensure timely delivery and quality standards
  • Track procurement status, material orders, and delivery schedules
  • Provide updates on project progress, risks, and key deliverables
  • Support budget tracking and cost documentation
  • Prepare project reports on performance indicators and milestones
  • Assist in quality assurance and compliance processes
  • Support Request for Information creation and tracking
  • Track inspections and project closeout documentation, including as-built drawings, warranties, and manuals
  • Provide administrative support, including communication, documentation tracking, and meeting coordination


Who are we looking for?

  • Bachelor’s degree in Construction, Engineering, Architecture, Business, or related field
  • 3+ years of experience in project coordination, construction administration, or similar roles
  • Experience in construction, contracting, multifamily, or development projects
  • Hands-on experience with Procore (2–3+ years) including Financial Management module
  • Experience processing invoices, purchase orders, and change orders in Procore aligned with contract terms
  • Proficiency in Procore tools: Documents, Commitments, Directory, and Project Management modules
  • Experience managing project documentation, compliance records, and contracts
  • Familiarity with procurement processes, vendor coordination, and documentation workflows
  • Proficiency in Bluebeam, Microsoft Office, and project management tools
  • Strong documentation and electronic file management skills
  • Excellent English communication skills (written and verbal)
  • Strong attention to detail and ability to manage multiple priorities
  • Highly organized, collaborative, and proactive in follow-ups
