Private Wealth Administrator

We are looking for a highly organized Private Wealth Administrator to support Capital Markets and Wealth Management operations through CRM data management, marketing support, reporting, and process optimization. This role involves maintaining CRM accuracy, preparing offering decks, tracking deal flow and operational metrics, supporting digital marketing audits (SEO, UTM tracking, website audits), and assisting in workflow documentation and automation initiatives across multiple systems.


What is your mission?

  • Maintain and update CRM records, ensuring data accuracy and integrity
  • Perform CRM data entry, database maintenance, and data enrichment activities
  • Research and update contact information, including job and company changes
  • Monitor bounced emails and returned communications to clean CRM data
  • Support geo-fencing initiatives and prospect database projects
  • Prepare offering decks, investment presentations, and other marketing materials
  • Coordinate and maintain Capital Markets trackers, checklists, and deal flow records
  • Follow up with internal stakeholders to ensure data and trackers are current
  • Assist in investor outreach administration and pipeline management activities
  • Generate recurring internal reports and track key operational metrics
  • Maintain project dashboards and activity trackers
  • Support leadership with administrative tasks, special projects, and ad hoc reporting
  • Track conference participation and execute post-event follow-ups
  • Conduct monthly website audits including SEO checks, forms, chatbots, and email systems
  • Perform keyword research and validate UTM tracking implementation
  • Assist in digital marketing performance reporting and analytics tracking
  • Document workflows, standard operating procedures, and business processes
  • Identify automation opportunities and process improvement initiatives
  • Support AI-driven automation projects and operational efficiencies

Who are we looking for?

  • Bachelor’s degree in Business Administration, Finance, Marketing, or related field
  • At least 2+ years of experience in administrative support, CRM administration, marketing operations, project coordination, or similar role
  • Strong experience with CRM platforms such as HubSpot, Salesforce, Microsoft Dynamics, Wealthbox, or equivalent
  • Advanced proficiency in Microsoft Excel, Google Sheets, and Microsoft 365
  • Experience in CRM reporting, data enrichment tools, and database management
  • Exposure to digital marketing analytics, including SEO, keyword research, and UTM tracking
  • Experience supporting financial services, wealth management, or capital markets environments (preferred)
  • Proven ability to document SOPs, workflows, and process improvements
  • Excellent written and verbal English communication skills
  • Strong attention to detail, organizational, and time management skills
  • Ability to manage multiple priorities and work in a fast-paced environment
  • Comfortable working independently and collaborating with cross-functional teams
  • Proactive mindset with initiative to go above and beyond expectations
  • Leadership potential or experience supporting or guiding teams
