Senior Special Assets Coordinator

We are looking for a Senior Special Assets Coordinator who supports property operations, payoff processing, and loan administration activities. This role focuses on REO coordination, payoff quotes, invoice management, foreclosure support, and documentation tracking. You will maintain accurate loan records, coordinate with vendors, and ensure timely processing of property and mortgage-related transactions.


What is your mission? 

You will provide the best service to our partner brands by performing these tasks:

  • Manage REO and property operations coordination, ensuring accurate tracking and execution of tasks
  • Generate payoff quotes and demand letters following established procedures and guidelines
  • Process and manage invoices, expenses, and property-related financial records
  • Support foreclosure and legal coordination activities, ensuring documentation accuracy
  • Maintain and organize inbox management and documentation systems for loan and property records
  • Order and coordinate property inspections, vendor services, and operational requests
  • Update and maintain loan and property records in CRM or database systems
  • Review invoices for completeness and escalate discrepancies to accounting teams
  • Coordinate with utility providers, attorneys, inspectors, and service vendors
  • Maintain accurate documentation and record-keeping aligned with operational standards
  • Support process improvement and workflow consistency through structured task execution


Who are we looking for?

  • Bachelor’s degree in Business, Finance, or a related field, or equivalent professional experience
  • 2–3 years of professional experience in mortgage servicing, loan processing, collections, financial administration, banking operations, or accounts receivable roles
  • Strong experience in data entry, documentation management, and administrative processing
  • Experience working with CRM systems or financial databases
  • Proficiency in Microsoft Excel and Office applications for reporting and data tracking
  • Strong understanding of REO operations, payoff processing, or mortgage-related workflows, considered an advantage
  • Experience supporting foreclosure processes or legal coordination, considered an advantage
  • Exposure to Microsoft Dynamics 365, Salesforce, or similar CRM systems, considered an advantage
  • Experience coordinating with vendors, including utility providers, inspectors, and service contractors, considered an advantage
  • Familiarity with invoice review and expense tracking processes, considered an advantage
  • Strong attention to detail and accuracy in repetitive administrative tasks
  • Strong organizational skills and ability to follow structured processes and checklists
  • Excellent written and verbal English communication skills
  • Ability to make outbound calls professionally to vendors and stakeholders
  • Ability to manage multiple priorities in fast-paced environments
  • Strong accountability and process-driven work approach
